USED PICK-UP TRUCK PROCUREMENT


Family Promise of Genesee County

Bid Opening Date: June 29, 2023


1. INTRODUCTION:

Family Promise of Genesee County is seeking bids from qualified vendors for the procurement of a reliable, high-quality used pick-up truck capable of hauling a trailer. The truck will be used for various FPGC Shelter operations, including the transportation of equipment, household goods, and people. This RFP outlines the requirements and evaluation criteria for potential vendors.


This vehicle would serve as an essential resource, enabling FPGC to respond promptly to emergency situations and swiftly relocate the camper to various locations as needed. By having a reliable pick-up truck at their disposal, Family Promise of Genesee County would be better equipped to deliver vital services and shelter to families in crisis, ensuring that their immediate needs are met and helping them on their path to stability. It would also be used for essential services throughout the emergency shelter, such as:

• Transporting Guests to and from the Mobile Shelter Location to our Day Center.

• Used for moving furniture donated to families who are moving into their own homes.

• Moving furniture to storage units when families are facing eviction.

• Moving Bulk Emergency Shelter and Supplies.

• Moving the Camper from location to location.

• Taking the Emergency Shelter Unit in to be maintained.

• Hauling Supplies for Special Events are used to raise money to help house guests allowing us to help more

families.



2. SPECIFICATIONS:

The following specifications should be met by the used pick-up truck:


2.1 General Requirements:

- Model Year: 2018 or newer.

- Mileage: Less than 50,000 miles.

- Condition: Excellent, with a well-maintained service history.

- Seating Capacity: Minimum of four passengers.

- Drivetrain: Four-wheel drive (4WD) or all-wheel drive (AWD).

- Towing Capacity: Minimum of 10,400 pounds.

- Bed Length: Minimum of 6 feet.

- Engine: V8 is preferred, but V6 engines with sufficient power will also be considered.

- Transmission: Automatic.

- Safety Features: Anti-lock braking system (ABS), airbags, stability control, and rearview camera.


2.2 Additional Considerations:

- Extended cab or crew cab configuration for increased passenger capacity.

- Trailer hitch and wiring for easy trailer connection.

- Bed liner or cargo management system for secure transportation of materials.

- Climate control system for passenger comfort.

- Auxiliary power outlets for charging equipment.


3. BID SUBMISSION:

Vendors interested in bidding must submit the following information:


3.1 Technical Proposal:

- Detailed description of the proposed used pick-up truck, including make, model, year, mileage, and VIN.

- Confirmation that the truck meets or exceeds all the specifications outlined in Section 2.

- Maintenance records and service history of the truck.

- Any additional features or options provided.


3.2 Price Proposal:

- Itemized pricing for the used pick-up truck, including all taxes, fees, and delivery charges.

- Warranty information, if applicable.

- Payment terms and conditions.


4. EVALUATION CRITERIA:

Bids will be evaluated based on the following criteria:


4.1 Technical Suitability:

- Adherence to the specifications outlined in Section 2.

- Overall condition and service history of the used pick-up truck.

- Additional features and options provided.


4.2 Price:

- Competitiveness of the pricing.

- Value for money.


4.3 Vendor Experience:

- Vendor's experience in supplying similar vehicles to nonprofit agencies.

- References and past performance with nonprofit agencies


5. CONTRACT AWARD:

The contract will be awarded to the vendor who submits the most advantageous bid, considering the evaluation criteria outlined in Section 4. The FFPGC reserves the right to reject any or all bids, waive minor irregularities, or accept any bid deemed to be in the best interest of the organization.


6. TIMELINE:

- Release of RFP: June 29, 2023

- Deadline for Bid Submission: July 7, 2023

- Bid Evaluation Period: July 10-12, 2023

- Contract Award: July 12 , 2023
